The University of Oxford, with its expansive and ever-evolving campus, faced the challenge of standardising and structuring information within their Estate Department. In 2010, prior to the adoption of Building Information Modeling (BIM), Edocuments was tasked with digitising their Handover Information to establish a robust and future-proof system.
Our solution, drawing on our experience in data structuring since 2005 and utilising the pre-Uniclass Common Arrangement of Works (CAWS codes) as the Classification system, proved effective. Building on successful implementations with various Local Authority Customers, we introduced data-driven Operation and Maintenance (O&M) templates for all projects, regardless of size. These templates served as a centralised entry point, facilitating automatic data sharing for the creation of maintenance schedules, health and safety file content, asset registers, and other essential output formats.
As a result, the University of Oxford now boasts a library comprising 150 projects. This repository not only houses current data but also legacy file-based information, offering instant accessibility and searchability. Users can navigate the repository by document, location, project, or site, and data can be seamlessly shared and interconnected for both ongoing and future projects and systems.
Additionally, the implementation provides the University with the assurance of an audit trail, enhancing transparency and accountability. The system is poised to support the integration and sharing of data through COBie (Construction Operations Building Information Exchange) and future 3D models, ensuring a forward-looking approach to information management.

⏺ Worked closely with the design team and digital engineers to correctly set up documents and equipment schedules.
⏺ Used built-in Validation Tools on the platform for real-time tracking and sharing of information.Collaborative working was made easier.

⏺ The online platform allowed the supply chain to input information directly into the relevant blocks, ensuring specificity and accuracy for the end-user client.
⏺ Software: Edocuments used flexible templates to separate project information into individual buildings. Reporting tools provided confidence by tracking each building's progress independently, minimising last-minute issues.

How We Did It:
⏺ Process: Edocuments used industry-standard templates to collect Hand Over Information from the supply chain, aligning it with the construction program to ensure timely data collection. Over 18 months, Edocuments managed this process and ensured consistency across all documents, collaborating closely with the MEP Contractor.
⏺ Software: Edocuments employed built-in system tools for thorough document review and approval, automatically populating relevant sections of the Health and Safety file, such as Residual Risk, Hazardous Materials, and Disposal Information, from data provided by subcontractors and the supply chain, eliminating human errors.
